Director of Owner Services

Sanibel, FL

The Sundial Beach Resort & Spa is seeking a dynamic Director of Owner Services leader to provide support to condo owners and resort’s operation staff.  Responsible for overall management and functionality of assigned properties and areas.

Essential Functions:

  • Communicate with all owners via face-to-face meetings, phone calls, emails and other periodic resort updates.
  • Update current property owners with resort happenings as well as new programs and initiatives being introduced.
  • Recruit additional property owners into the rental program and assist owners in preparing their unit for entry.
  • Maintain existing in program unit owners and convert pre-existing agreements to updated versions.
  • Generate profit according to monthly forecast and budget by managing both revenues and expenses.
  • Prepare owner billing for all internal and external invoices, charges and expenses to submit monthly to accounting.
  • Update monthly inventory including room counts, contract types, bedding, revenues, profits, etc.
  • Review monthly rental income statements to ensure accuracy and communicate any discrepancies with accounting.
  • Retain accurate files for rental management agreements, tax forms and other necessary documents.
  • Establish and maintain relationships with Association Managers including periodic meetings to discuss any outstanding concerns and potential improvements for all parties.
  • Plan, coordinate and execute various owner events and activities annually.
  • Coordinate and follow up on all repairs and maintenance with both internal Engineering team as well as outside vendors.
  • Keeps records of repairs, installation and maintenance with corresponding time required on each job
  • Adhere to contractual owner usage as allowed per agreement and confirm reservations in conjunction with such.
  • Perform regular property inspections and owner pre-arrival inspections.
  • Ensure that the company’s service levels are maintained at the highest level by using all internal and external resources necessary to provide exceptional guest service.
  • Maintain positive relationships with owners and provide any necessary assistance.
  • Assist owners with reservations, housekeeping, accounting, and repairs/replacements.
  • Maintain accurate financial records by use of purchase orders, charging owners, coding and filing invoices appropriately, etc.
  • Maintain effective communication with other departments and provide support when necessary.
  • Attend regular scheduled meetings.
  • Provide leadership to the Owner Services team.
  • Schedule regular meetings and provide updates on various projects.
  • Manage departmental budget.
  • Assist owners with reservations, housekeeping, accounting, and repairs/replacements
  • Interact with Condominium Associations to ensure seamless renovations, building updates and other necessary relays of information
  • Ensure that service levels are maintained at the highest level by using all internal and external resources necessary to provide exceptional service
  • Create monthly newsletter prior to deadline for distribution to include creative and layout
  • Have complete knowledge of all policies, standards, and procedures of the department.           

Qualifications, Education, Experience, Skills, and Abilities:

  • Minimum five years of experience in hospitality operations and property management 
  • CAM License required
  • Four-year college degree with emphasis in hospitality preferred
  • Excellent organizational, communication, interpersonal skills
  • Proficient in Microsoft Office  
  • Must be able to manage multiple priorities in a fast-paced environment.
  • Must be detail oriented, have ability to communicate well with all levels within and outside the organization, and be able to problem-solve.
  • Previous knowledge of Opera preferred
